1. How do I import digital information into the software?
Go to Fleet Data\Digital Data\Digital Data Centre and select ‘Import File’, and
then browse for the file. Click on 'Open' and then click on the 'Import' button
and your data is imported. You will be told when the data import is complete.
2. How do I download information into the software from my Download Tool?
At the top of the OPTAC main screen please click on the icon furthest to the
right (illustration of an OPTAC Download Tool). Select the "OPTAC Download
Tool" from the browse folder list, normally called "OPTAC Tool" and assigned
drive letter E: or F: and then click "OK". Tick the drivers or vehicles you
want to download and proceed by clicking "Download".
3. How do I create a report with all my drivers' infringements?
Click on the "Report" icon. Select the "Driver's Letter" report from the list.
Tick the two over ride boxes underneath the list. Click on "Preview" (bottom
left). Select the date range and the driver. Your report should now appear
on-screen
4. What is the difference between "Archive" and "Backup"?
Archive – removes company data such as charts and fuel records for a
specified time. It then compresses and stores this information into a separate
file which can then imported into OPTAC at a later date.
Backup – copies all your data within the OPTAC system into a file which
can be later used to restore your information. This is useful if you have a
system failure or lose your data.
5. How do I create a backup of my company?
Go to "Company". Click on "Backup" and select your company name from the list.
Click on “Select Backup Destination" to choose where you want to store your
backups and type in a name for the file. Then click on "Save" and proceed to
create the backup.
6. How do I create an archive?
Go to "Company" and select "Archive". Select the end date of the archive and
click on "Next". Choose the location where you want to store your archive and
click "Next". If you tick all four boxes, all the information you have archived
will be deleted from the database.
7. How can I delete drivers that no longer work for my company?
It is crucial that you create an archive (see point 6) first. Then go to Fleet
Data\Drivers, select the driver you wish to delete and click on “Delete” to
remove them from the database.
8. Is OPTAC compatible with other download tools (eg: Siemens download key)?
Yes, it is. To import the information: Go to Fleet Data\Digital Data\Digital
Data Centre and select “Import File". Please see FAQ 1 for full details.
9. Which reports should I run?
Run the Infringement Table for an overview over infringements.
Run the Drivers' Letter for an individual driver infringement report with
signature strip.
Run the Weekly Averages to check if your drivers comply with the Working Time
Directive.
Run the Utilisation Report for vehicles and drivers to get a general overview
of how many hours the vehicles and drivers have been working.
10. How do I select a specific period or specific drivers/vehicles in a report?
Once you have selected your report, tick "Date Range" or "Drivers/Vehicles" or
both on "Over-ride."
11. Why is the "Scan Chart" button in "Tachograph Chart Data Entry" grey?
Check if your Scan4 is configured properly. Under "Set Up" menu, select "System
Set Up" and check that the radio button next to "Stoneridge Scan4" is selected.
Then click on "Properties", then "Optimise" and "Test" your scanner. Please
contact us if you receive other on-screen messages
12. Which chart colour scans most clearly?
The Scan4 is designed to be used with red, green and black charts. However for
best results we strongly advise using red charts. These can be
purchased here.
13. Why do I get an error message when scanning my charts?
Please make sure the silver switch is in the "up" position and that you have a
red and green light on your scanner. If you are still experiencing problems
